Privacy policy

Information about the processing of personal data under Article 13 of the General Data Protection Regulation (GDPR).

2. What data do we process?

When an exhibition meeting is saved, we process your name, company, business email address, optional telephone number, the person met, subject of the conversation, voluntary note, exhibition and stand context, language, date and time. For a business-tenant enquiry we also process country, desired number of users, plan of interest and your voluntary message.

Early interest in the future Hello There version

If you voluntarily register early interest, we store your email address, chosen interest type (Personal, Professional or Both), language, consent date, registration/update date and source, plus an optional first name and company name. This separate record is used only for relevant information about development, availability, testing or possible early access. It is not shared with partners or included in partner exports and is not linked to a Meeting Record, Meeting Memory or Business Access request. We review and delete inactive records no later than 24 months after the last update, or earlier if consent is withdrawn. To withdraw consent or request deletion, write to info@hellothere-app.eu from or mentioning the registered email address.

3. Purpose and legal basis

We use the data only to document the specific exhibition meeting, enable the requested follow-up, test the pilot and, if requested, contact you about early business access. Processing is based on consent under Article 6(1)(a) GDPR. You may withdraw consent at any time with effect for the future.

4. Recipients

Access is limited to authorised persons at Hello There UG and, where needed for the expressly requested follow-up, the responsible stand or partner team. Contracted hosting and infrastructure providers are used for technical operation.

What does the partner receive?

The responsible partner sees the meeting context. Contact details are released only when you explicitly choose follow-up from that partner. If you choose “save only”, the partner does not receive your email, telephone number, address or VAT number. A personal note is never shown in a partner dashboard or partner export. The exhibition organiser receives identifiable contact details only if you request exhibition information or year-round updates; otherwise it receives at most anonymous pilot statistics.

Security and access

Partner dashboards and personal Meeting Memory pages use long, non-public access links. Keep such links confidential. Access is restricted by role and purpose; there is no public directory.

Voluntary attachments: Up to three photos or PDF files of 10 MB each are stored privately. They are accessible only through the secret Meeting Memory link, do not appear in the partner dashboard or CSV export, and can be deleted individually there.

5. Retention period

Pilot data is generally deleted no later than twelve months after the relevant exhibition, unless consent is withdrawn earlier or further storage is required for an expressly agreed business relationship or by law.

Specific retention periods

Meeting records and feedback are deleted no later than 12 months after the relevant exhibition. Temporary private connection invitations and their associated connection data expire and are deleted after 30 days. Early business-access enquiries are deleted no later than 12 months after the last substantive contact, unless a contract or statutory obligation requires longer retention.

6. No advertising or profiling

The data is not sold, used for personalised advertising, automated decision-making or profiling. The public pilot site currently uses no marketing or analytics cookies.

7. Your rights

You have rights including access, rectification, erasure, restriction of processing, data portability and withdrawal of consent. You may also lodge a complaint with a data protection supervisory authority.
